Help! We’re Drowning in Paper!

If you’ve been in business for a while, you probably have thousands of dollars sunk into paper, folders, cabinets and space to store them. The cost of that mountain of dusty paper never stops growing. Protecting and storing paper files is expensive…and recovering them in the event of a fire, flood or other disaster? Probably impossible.

River Run’s Application Services Group can help you implement a document management system that preserves your important documents electronically, making them easier to access and less expensive to maintain. You may never be able to eliminate paper entirely, but you can have significantly less of it and be able to access it more efficiently.

The core of the PaperLESS™ Office concept is that your primary file in every matter is a complete, well-organized, up-to-the-minute electronic file containing everything about that matter or client, whether sent or received, created or copied, in one easy to manage and (ideally) remotely accessible location.

This is accomplished by quickly and easily scanning everything that comes into the office, so that there is never a backlog of documents that are not yet filed. Mail is scanned into the appropriate folder as the envelopes  are opened, or scanned and handed back to the client or customer on the spot. Documents that must be kept in original paper form can be filed away for safekeeping or sent on to your client.  If there is ever a question of which file is complete, it should always be your electronic file.

“Document Management System” is just a fancy word for having a good system in place for storing, sorting and organizing your documents. In fact, you may already have a system that works but needs some improvements or training.

We are happy to talk with you about how to reduce your costs and risks without spending a fortune (and saving a bunch of trees while you’re at it!). Find more information on our Applications Services Group by clicking here!
